Facilities Administrator

The Facilities Administrator assists the warehouse manager and facilities manager with warehouse administration, including data entry in ToolWatch inventory management to ensure periodic automatic replenishment (PAR) level of janitorial and warehouse supplies.  The administrator is responsible for the cleanliness of the fleet reserve and warehouse vehicles and is available to take vehicles to the shop as needed.  At the request of the building engineer manager, the facilities administrator assists with general building repairs.  The administrator has overall janitorial responsibilities for Co|Lab and Shed. This position works Tuesday through Saturday and reports to the warehouse manager.

RESPONSIBILITIES

WAREHOUSE ADMINISTRATION

  • Notifies warehouse manager when inventory needs to be ordered and unpacks and organizes items upon delivery to ensure they are easily located
  • Provides warehouse manager with packing slip and informs him/her if any items are incorrect, not delivered, or back ordered
  • Logs rentals, sales, and returns into ToolWatch, HITT’s tool management system, and brings any discrepancies to the attention of the warehouse manager
  • As needed, receives, and logs all company deliveries and notifies respective recipients

 

FLEET MAINTENANCE

  • The administrator is the point person that oversees that the interior and exterior of the fleet reserve and warehouse vehicles are clean
  • Runs vehicles regularly to ensure they are operational and notifies fleet manager if any trouble lights come on
  • In the absence of drivers, takes vehicles to the automotive shop for repairs, inspections, emission tests, etc.

 

FACILITIES SUPPORT

  • Ensures visitor and safety protocols are carried out in the warehouse. This includes:
  • Having contractors sign in
  • Prohibiting non-Hitt personnel beyond the warehouse without an escort
  • At the direction of the warehouse manager or facilities manager, and with other team members, sets up The HITT Way for all scheduled meetings and events at headquarters
  • As directed by the facilities manager, relocates office and workstation furniture
  • Makes mail runs as needed
  • Responsible for all janitorial needs at the Co|Lab and the Shed, including floor care, trash, and compost removal, interior glass cleaning, carpet cleaning, restroom sanitizing, and metal maintenance
  • At the request of the facilities manager, sets up the large meeting room at Co|Lab
  • For executive meetings, provides porter service at Co|Lab
  • Maintains janitorial supplies for Co|Lab and Shed
  • Notifies facilities manager of needed repairs at Co|Lab and Shed
  • Assists with outdoor grounds maintenance, keeping walkways clear and watering plants
  • At the direction of the building engineer manager, assists with snow removal and provides additional facilities support, as needed at all HITT facilities

 

SATURDAY COVERAGE (5:00 am – 1 pm)

  • Opens and remains in the warehouse from 5:00 am – 7:00 am to provide support to Site Workforce team members who may need materials, rentals, or be returning equipment; during this time administrator logs orders and inventories existing tools, supplies, and equipment
  • Resets the HITT Way after Red Bucket; brings popcorn machine and coolers downstairs and empties, cleans, and dries the coolers
  • Goes to the post office, retrieves mail, and places the mail on the production counter
  • Swaps out walk-off mats. Shampoos large mat from the main entrance
  • Visits Co|Lab and walks building for leaks. Refreshes meeting room and open space as needed
  • Weather permitting, blows leaves and debris in the parking garage and along walkways
  • Mops and seals warehouse floor
  • Walks building and ensures meeting rooms are ready for use Monday morning
  • Special projects as assigned by the warehouse and/or facilities manager

 



SUPPLEMENTAL REQUIREMENTS

  • Software proficiency—able to adapt to and learn how to use project-specific software systems, including:
    • Microsoft Office suite (ex. Excel, Word, Outlook, PowerPoint, etc.)
    • ToolWatch
    • JD Edwards
  • Required certifications within the first year:
    • OSHA 10-hour certification
    • Forklift operator certification

EXPERIENCE

    • 2 year’s janitorial experience preferred with knowledge of green products, ideally in a Class A building
    • 1-2 year’s general office maintenance, repair experience
    • Experience driving pick-up trucks and vans
