Executive Business Partner

HITT Contracting is seeking an Executive Business Partner to provide customized project and administrative support to multiple C-Suite team members including the CEO and Co-Presidents.  Critical thinking, problem-solving skills, and proficiency in business writing are imperative.  This Executive Business Partner will be providing confidential administrative support, acting as the gatekeeper to the C-suite, and designing and executing special projects across a range of areas. This position reports directly to the CEO.

The ideal candidate must be able to understand and articulate HITT’s strategic priorities and drive internal communication.  The candidate will also be responsible for providing various analysis and must be comfortable making critical decisions and recommendations as necessary.

Responsibilities

  • Manage a variety of internal initiatives, many of which may have considerable organizational impact
  • Gather and analyze data on a variety of topics; making recommendations and observations
  • Write policy and guidelines independently or in collaboration with the team members of various departments
  • Attend and actively participate in senior level meetings
  • Complete a variety of administrative tasks such as: managing an active calendar of appointments; composing and preparing confidential correspondence; arranging complex itineraries and agendas; generating meeting minutes and action items, and ensuring they are accomplished in a timely manner
  • Handle all requests for meetings and appointments, scheduling or redirecting as necessary and ensuring the CEO’s time is used wisely
  • Prepare and distribute internal communications including: agendas, presentations, and talking points specifically designed for each audience being addressed
  • Collect and prepare information for use in discussions and meetings of Executive staff and outside individuals
  • Coordinate, create, edit and assemble slides for presentations and assists with collecting and effectively presenting executive-level information.
  • Event planning and execution – training sessions, executive retreats, company-wide communication meetings. This includes set-up, catering, audio/visual, presentations, and other duties as assigned
  • Track and reconcile expenses and submit expense reports in a timely manner in accordance to HITT policy
  • Act as a “barometer”, having a sense for any issues and keeping the CEO updated
  • Other duties as assigned

Qualifications

  • Bachelor’s degree required; MBA helpful
  • 5-10 years of directly related work-experience is required
  • Previous experience managing projects through to completion
  • High proficiency in MS Office, particularly Excel, as well as Word, PowerPoint and Outlook
  • Excellence in written and verbal communication, judgment, and discretion with confidential information
  • Ability to draft correspondence and other communications quickly with minimum direction
  • Ability to prioritize conflicting needs; handle matters expeditiously, proactively and follow through on projects to successful completion
  • Forward-thinking; actively seeks opportunities and proposes solutions
  • A high level of professional maturity and a solid work ethic
  • Acts with sense of urgency and understands need for responsiveness
  • Eagerness to integrate into a family-oriented, entrepreneurial, and highly demanding work environment
  • Ability to present and analyze data
