Executive Assistant

HITT Contracting is seeking an Executive Assistant to provide customized administrative support to multiple C-Suite team members including the CEO and Co-Presidents.  The ideal candidate thrives in a multi-faceted, fast paced environment.  Critical thinking and problem-solving skills are imperative.  This Executive Assistant will be providing confidential administrative support, acting as the gatekeeper and primary point of contact for internal and external communications, and designing and executing special projects across a range of areas.  This position reports directly to the CEO.

Responsibilities

  • Provide complex, diverse and confidential administrative support.
  • Independently and proactively provide support and anticipate the needs of the CEO. Manage the calendar proactively to make effective and efficient use of time and resources.
  • Effectively management the CEO’s aggressive calendar; assisting in the administration of the CEO and C-Suite office, including scheduling meetings, arranging travel, greeting guests and other tasks as assigned
  • Draft original and routine correspondence for CEO’s signature.
  • Collect and prepare information for use in discussions and meetings of Executive staff and outside individuals
  • Coordinate, create, edit and assemble slides for presentations and assists with collecting and effectively presenting executive-level information.
  • Arrange meetings ensuring all necessary information and logistical support (audio/visual) is available
  • Manage all travel arrangements, prepare itineraries and complete expense reports.
  • Works alongside Chief of Staff (CoS) to assist in managing deliverables for the CEO and provide any necessary reporting.
  • Develop and maintain appropriate document filing systems as needed
  • Collaborate on communications with other business units and departments as needed for the CEO and C-Suite
  • Coordinate events, both on and off site as needed. This includes set-up, catering, audio/visual, presentations, and other duties as assigned
  • Track and reconcile expenses and submit expense reports in a timely manner in accordance to HITT policy
  • Other duties as assigned by the CEO

Qualifications

  • Bachelor’s degree required.
  • 5-10 years of directly related work-experience is required.
  • High proficiency in MS Office (Word, PowerPoint, Excel, Outlook)
  • Excellent written and verbal communication skills, including the ability to draft correspondences and other communications quickly with minimum direction.
  • Keen attention to detail with ability to track and manage multiple projects at one time
  • Proactive and service-oriented
  • Self-directed and able to work without supervision
  • Ability to exercise discretion in handling confidential information.
  • Acts with sense of urgency and understands need for responsiveness
  • Ability to develop professional working relationships with key operational contacts, both internal and external
  • Eagerness to integrate into a family-oriented, entrepreneurial, and highly demanding work environment
