HITT Contracting is seeking an experienced Executive Assistant to provide project and administrative support to the Chief Executive Officer (CEO) and multiple C-Suite team members. This individual is motivated, diligent, organized and business savvy with analytical skills, clear and concise communication skills, Critical thinking, problem-solving skills, and proficiency in business writing and content creation is essential to the success of this role. 

The successful Executive Assistant will be an extension of the C-suite and will ensure that the CEO is organized, informed, and prepared for anything that comes their way.  This individual will provide confidential administrative support and will act as the gatekeeper to executive leadership.  Flexibility and adaptability are key for the Executive Assistant in HITT’s constantly changing environment. This position reports directly to the CEO.

  • Manage a variety of internal initiatives, many of which may have considerable organizational impact
  • Gather and analyze data on a variety of topics, making recommendations and observations
  • Write policy and guidelines independently or in collaboration with the team members of various departments
  • Attend and actively participate in senior level meetings
  • Complete a variety of administrative tasks such as: managing an active calendar of appointments; composing and preparing confidential correspondence; arranging complex itineraries and agendas; generating meeting minutes and action items, and ensuring they are accomplished in a timely manner
  • Handle all requests for meetings and appointments, scheduling or redirecting as necessary and ensuring the CEO’s time is used wisely
  • Prepare and distribute internal communications including agendas, presentations, and talking points specifically designed for each audience being addressed
  • Collect and prepare information for use in discussions and meetings of Executive staff and outside individuals
  • Coordinate, create, edit and assemble slides for presentations and assists with collecting and effectively presenting executive-level information.
  • Event planning and execution – training sessions, executive retreats, company-wide communication meetings. This includes set-up, catering, audio/visual, presentations, and other duties as assigned
  • Track and reconcile expenses and submit expense reports in a timely manner in accordance with HITT policy
  • Act as a “barometer”, having a sense for any issues and keeping the CEO updated
  • Maintains high ethical standards in reporting and confidentiality of data
  • Other duties as assigned


  • Bachelor’s degree preferred but not required. An equivalent level of knowledge and experience in a relevant field is preferred.
  • Minimum 5-10 years of C-suite and executive level administrative support experience required
  • High proficiency in MS Office, particularly Excel, as well as Word, PowerPoint and Outlook
  • Excellence in written and verbal communication, judgment, and discretion with confidential information; Understanding the ‘voice’ of the executive leadership team is imperative when creating content and corresponding with internal and external stakeholders.
  • Ability to draft correspondence and other communications quickly with minimum direction
  • Ability to prioritize conflicting needs; handle matters expeditiously, proactively and follow through on projects to successful completion
  • Forward-thinking; actively seeks opportunities and proposes solutions
  • A high level of professional maturity and a solid work ethic
  • Acts with sense of urgency and understands need for responsiveness
  • Ability to take initiative, work independently and collaboratively while integrating a high degree of attention to detail and organization
