The Enterprise Associate to the Chief of Staff (CoS) serves many roles to include analyst, project manager, and change agent. From day one, this individual will have an immediate impact on our productivity, streamlining our corporate reporting, monitoring strategic initiative performance, and communicating objectives between departments. The ideal candidate will have proven experience in a business management role, with a special focus on executive-level communication and interdepartmental collaboration. 

 

Internally, the Associate will be responsible for reviewing, editing, and maintaining all proposed company policies, procedures, and manuals. This team member must be a creative and results-driven thinker, an excellent writer, and possess incredible organizational and interpersonal skills. The Associate works with and reports directly to the CoS, relaying messages and ideas from other senior executive leaders to improve the internal functions and processes of the company.



RESPONSIBILITIES

  • Support the Chief of Staff’s role in key processes across the company (i.e. strategic planning, corporate initiatives, operations, firm-wide reporting, etc.)
  • Work with senior executives to report and track against internal metrics (operational, technical, financial and strategic) and develop quarterly and bi-annual reports
  • Guide business decisions by preparing ad-hoc analysis of enterprise metrics in support of a wide variety of initiatives across functions
  • Ensure confidentiality with sensitive information
  • Assist with managing our enterprise governance committee (EGC)—coordinate verbal and written communication before and after meetings (agendas, meeting notes, dissemination of action items), and schedule and organize follow-up actions. Create and maintain a document library for future retrieval of meeting notes.
  • Prioritize conflicting needs; and follows-through on projects to successful completion, often with deadline pressures
  • Provide decision support to Chief of Staff through research, analysis of information, and clear presentation of considerations
  • Organize and prioritize critical issues required for Chief of Staff decision-making
  • Develop and maintain relationships internally to leverage resources
  • Review and edit proposed policies and manuals for Chief of Staff approval, and maintain all corporate policies via the HITT intranet
  • Coordinate and determine content for the annual enterprise governance committee conference
  • Assist with developing content for HITT’s annual Executive Leadership Conference (ELC)

SUPPLEMENTAL REQUIREMENTS

  • Software proficiency—advanced level of proficiency with:
    • Microsoft Office suite (ex. Excel, Word, Outlook, PowerPoint, etc.)
    • Adobe InDesign (and other Creative Cloud platforms)
  • Able to adapt to and learn how to use project-specific software systems as needed


EXPERIENCE

  • Bachelor’s degree in business administration, communications, or related field preferred
  • Minimum one to three years’ related experience in project-based work
  • Proven track record of multitasking projects and meeting deliverables
  • Strong interpersonal and relationship building skills
  • Tech savviness, an eye for detail, and meticulous organization skills
  • A high level of professional maturity and a solid work ethic
