Job Description


The Administrator reports to the Senior Associate and is a member of the administrative services team. This position supports all administrative needs at the Headquarters office and performs routine duties in support of members of the Enterprise Governance Committee (EGC), Corporate Steering Committees (CSC), and Business Unit Leaders (BUL). The ideal candidate presents a positive attitude and is eager to provide client and guest hospitality. Key to this position is attention to detail and a sense of urgency in providing service to internal and external clients.


  • Execute requests for Headquarters catering and coffee services as part of the concierge service.
  • Maintain coffee stations operation and supplies.
  • Maintain all Headquarters conference rooms and flex desks: ensure cleanliness and supplies as needed.
  • Maintain all Headquarters common areas, including print stations, conversational areas, flex desks, conference rooms, and break rooms; ensure cleanliness and supplies as needed. Run dishwashers nightly, or as needed.
  • Produce and monitor Headquarters workstation signage, specifically office and cubical name plates. Coordinate temporary welcome signage prior to permanent signage installation.
  • Manage mail services for Headquarters, including distributing mail, assigning mailboxes, preparing shipping, and manage postage; order and maintain materials needed.
  • Coordinate outgoing deliveries via courier, UPS, and Federal Express, ensuring pick-up and drop-off execution.
  • Monitor and maintain printer / copier supplies for Headquarters and troubleshoot as needed.
  • Provide production and printing services as assigned by the Senior Associate of Administrative Services.
  • Provide administrative support (set-up, printing, agendas, coordination of catering request, etc.) for all meetings requested by members of EGC, CSC, and BUL, as directed by the Senior Associate of Administrative Services.
  • Provide basic clerical services as requested by members of the EGC, CSC and BUL, including drafting / editing / proofing correspondence, packaging, basic typing, filing, and copying / scanning.
  • Contribute to corporate and internal event support (nametags, registration, prepare promo items, t-shirt distribution, etc.) as needed.
  • Prepare promotional materials in support of EGC, CSC, and BUL members as needed (such filling mugs with M&Ms).
  • Provide receptionist desk coverage during lunch hours and extra hours, or as needed.
  • Provide marketing production support and promotional inventory
  • Assist Corporate Business Development with maintaining corporate intranet calendar and CRM support.
  • Interview day and new hire orientation support (tours)
  • Insurance support, as needed.
  • Assembly of Sub Truck monthly.


  • A high school degree is required
  • Proficiency in Microsoft Office, especially Word and Outlook, is required
  • Knowledge of basic clerical and administrative procedures is required
  • Knowledge of customer service principles and practices
  • Basic reading and writing skills
